Access Management (Grouper)

Overview

Grouper is used to manage provisioning of library privileges to authorized users.  Library Privileges include Library Flags (ability to access electronic resources remotely) and Alma Privileges (ability to check out materials and request items through Get It, and request non-UL materials through ILL and Digital Delivery).   

Current University of Minnesota Students (registered for at least one course), faculty and staff (active appointments), and retirees are considered authorized users.  Adjunct faculty typically only receive privileges during the semesters that they are teaching.  For Alma privileges, each current user is assigned to a Grouper group based on the user category (undergrad, grad, employee) then by campus.  Separate groups have been set up for Sponsored Accounts providing for Alma privileges but not library flags.  For library flags, they are assigned by campus first. These Grouper group assignments are done automatically.

Special borrowers, community users, and Friends of the Libraries are out of scope and will continue to be managed locally within Alma; they do not qualify for remote access to Library resources.

Within each Grouper User group/Campus, Ad Hoc Groups are available to manually add users to allow access.  To ensure consistency in application of ad hoc group provisioning, Grouper Ad Hoc Admin Procedures (LES) were developed and are updated regularly to reflect current practices. 

Based on positional access needs, some staff have Reader Access to Grouper.  Information on Reader Access is available at Grouper Reader Access Procedures (LES).

Reporting Issues

If you have questions about a patron's library access:

  1. For libanswers tickets, follow current procedures for assigning tickets to Borrowing Privileges and Fines account, [email protected].
  2. For all other staff, please email to [email protected], or assign to the DMA TDX group.
