CNEA election schedule

The election process runs from April to June.  Committee appointments run on the fiscal year and are effective on July 1.  Individual committees can determine their own turnover process and timeline.

First week of April

  • Schedule initial meeting for members during the first two weeks of April
  • Assign roles: 
    • Message maker
    • Ballot maker 
    • Editor
  • Send out call for nominations to Monday Memo by 12 noon on the second Friday of April
    • the nominating period lasts from between mid-April and the end of April.
    • ask for the bio sketch, reason for running and a photo if possible
  • Connect with Chair of the Librarian Committee to send out the call for nominations
  • Get email addresses of the staff eligible to vote from Lori Cramer

Last two weeks of April/First two weeks of May

  • Send a Monday Memo reminder post about nominations at the end of the 3rd week in April
  • Confirm that nominees are eligible to run 
    • check against list provided by Lori Cramer.  Bargaining unit members are not eligible to serve
  • Get authorization from [email protected] to be a Simply Vote administer in order to create ballots and rosters  https://vote.umn.edu/manage
  • Set up the ballot and have the committee test it the first or second week of May.  
  • Announce the election is open in the Monday Memo that comes out on the Monday of the 3rd week of May.

Last two weeks of May

  • Send out a reminder to staff to vote on Monday of the 3rd week of May.
  • Close the election on Monday of the last week of May.  
  • Count the ballots.
  • At a selected day/time, at the same time, notify candidates and the Associate to & University Librarian with the election results.  Wendy will send out congratulations to the winners.

End of May/First week of June

  • Announce in a Monday Memo the election results.
  • Email Amber Bathke ([email protected]), a staffer at the University Senate office, the name and contact information of the University Senators.
    • Senate election results are typically required earlier, but we have an exception since we do not operate on a 9-month calendar.
  • Have a last meeting to follow-up on the election process and procedures, as well as to welcome new members.
