Library Guide and Publications Policy

Approved by the Library Leadership Council, 2001

1. POLICY STATEMENT The purpose of this policy is to provide minimum design elements for printed library guides and other official library publications and to make all publications uniform in design. Policies applying to library Web sites are presented in "Required Page Elements" (staff.lib.umn.edu/rcs/wag/policies.phtml).

2. TYPES OF PRINTED MATERIALS -- LIBRARY GUIDES AND OTHER OFFICIAL LIBRARY PUBLICATIONS (not an exclusive list)

Information Sheet. Designed for quick information, point-of-use distribution, frequently updated; 8.5" x 11" sheets, usually no more than six total pages of text.

Map/Floor Plan. Scale ranges from University, building, floor of a building, to individual library unit for reference area. Usually on a single 8.5" x 11" sheet.

Booklet. Focuses on a limited audience; less frequently updated; typically more than six stapled or bound pages, 8.5" x 11" sheets or smaller; usually bound or stapled with a cover; generally contains table of contents.

Brochure. Provides specific information in convenient form; usually promotional matter. Printed, often tri-fold materials; brief.

Flyer. Single sheets to promote specific events or issues; limited printing runs; bookmarks, etc.

Handout. Specific to a particular class or event, limited distribution, ephemeral in nature. Usually on 8.5" x 11" sheets.

3. MANAGEMENT AND DISTRIBUTION OF PRINTED MATERIALS

The Assistant University Librarian [Peggy Johnson] will serve as a central Libraries liaison with University Relations and keep up to date with and share University policies and procedures regarding publications. These include following the University Style Manual, wordmarks, EEO statements, and disability statements.

A publications resource person is designated for those teams or major units from which publications are issued. These are -- FOM: Bernadette Corley-Troge; IADS: Steve Koehler; ITS: Mary Gibney; A-Team: Karen Roloson; RCS: Susan Gangl, Andrea Halvorsen, Julia Kelly; CDM: Jim Stemper; Bio-Med: Cynthia Robinson]. These individuals will assist with production of printed materials; promote uniformity; act as consultants concerning suggested options; maintain current "templates" of forms, logos, etc.; and "proof" large runs of forms prior to production. Susan Gangl serves also as the Library Guides Coordinator.

The Library Guides Coordinator [Susan Gangl] and other persons responsible for guides will meet and communicate on a regular basis to make recommendations as to what guides are needed, who will write or compile the guides, and how many should be produced.

Printed guides will be distributed through the Libraries' Shipping and Receiving Department. The Library Guides Coordinator [Susan Gangl] will work closely with the Libraries Web Advisory Group to make appropriate guides available on LUMINA. Guides will be made available in alternate formats when needed by persons with disabilities.

4. GUIDELINES

All publications must include these elements in the header:

A. The University Wordmark see The Wordmark for guidelines and sources
B. University Libraries
C. Full name of unit (if publication applies to a single unit)
D. Library logo
E. Document title

All publications must include these elements in the footer:

A. ©2000 Regents of the University of Minnesota -- Twin Cities and the University Libraries All rights reserved. (copyright symbol including year of last update)
B. Address of unit (if not already in header of document)
C. EOE statement "The University of Minnesota is an equal opportunity educator and employer," and accessibility statement "This publication is available in alternative formats upon request. Call 624-5802."
D. Date last updated: (e.g., May 1, 2000)
E. Unit responsible

5. SPECIFIC TYPES OF PUBLICATIONS

Some types of publications require additional elements and/or specific design considerations.

MAP/FLOOR PLAN.

A. Header, Top of Page
1. Title will include building/campus/floor
(a) Clear, complete location information
(b) Located on both sides, at top, when appropriate

B. Body
1. Compass indication, when scale dictates, to assist orientation (for large scale maps this is essential); should not intrude on graphic; consistent throughout
2. Landmark(s) clearly indicated (service disks, front door, elevators, parking ramps, etc.)
3. Symbols key (Use uniform symbols among units, if possible)
4. Clarity, not detail, is important

BOOKLET.

A. Cover, Front
1. "University of Minnesota" wordmark must appear in the top third
2. "University Libraries" below "University of Minnesota" wordmark
3. Library Logo
4. Statement of authorship
5. Date (month/year) located at the bottom of cover

B. Cover, Inside Front
1. University of Minnesota equal opportunity and accessibility statements
2. Disclaimers (if necessary)
3. Sponsor/other acknowledgements
4. Copyright statement and date

C. Body (text inclusive, i.e., not on covers)
1. Table of contents (index may be necessary at the end of text body)
2. Pagination essential
3. Consistency in use of symbols/graphics
4. Margins for possible binding

BROCHURE. Provides specific information in a convenient form; usually promotional matter. Printed, often tri-fold materials; brief.

1. Title (largest typeface) Top third of page (most often)
2. Date (for date-sensitive materials)

2. Consistent use of symbols/graphics
3. If to be mailed, postal regulations may apply
