Space Allocation and Design

Space Allocation

Once space is allocated by Libraries Administration, it becomes that Departments jurisdiction for internal space changes. Library wide needs may require reallocation of currently used space. Reallocation of space is a FOM function in collaboration with the Libraries Administration.

FOM will perform space analyses and planning, taking National Library Standards regarding space use into consideration, and present Library Administration with the findings and recommendations. Libraries Administration will make the final decision regarding the space use.

Public service areas are a shared function of Information, Access and Delivery Service and FOM.
New capital project development is a shared function with the University Librarians Office and FOM Geographic Facilitators.

Reuse of Currently Assigned Space

Assigned space may be redesigned in consultation with FOM to suit new use needs as long as structural changes are not made and redesign funding is allocated. When changes to the building or when the change will effect other areas in the building, a budfet allocation is necessary and FOM must plan and coordinate project.

New Space

A proposal must be made to FOM (and Libraries Administration) when new space is needed. FOM (Libraries Administration) will work with persons requesting space to determine whether there is suitable space in the building, taking into account current OSHA standards, needs for wiring, phones, etc . If space is found which can be immediately used, FOM will notify parties to see if the space is acceptable. If the space can only logically be used by the tenants currently housed in this geographic area the move will not be implemented. If the space is suitable for any library member or unit, system wide, then  FOM will evaluate the space, gather cost estimates and present the findings of both proposals to the requestor. Final decision authority rests with Library Administration.

Space Not Found

If space is not found, FOM will consult with leaders/staff within the building to identify space which may be rearranged to accommodate new need. If suitable space cannot be located in a building, FOM will discuss with Libraries Administration the options in other locations, using the University Space Utilization Inventory. The University Space Utilization Inventory must be updated by the GF initiating the move.

Communication

FOM will be responsible throughout the procedure for communicating with involved parties the status and progress of the move.
